What syncs from Workyard

Everything flows one way, from Workyard into AbsentEase, on an hourly schedule or whenever you click Sync now. Every addition and removal goes through a review step, and every run is written to a sync log you can read.

Employees

Name, mobile number and email for every enabled Workyard employee. New people are staged for a one-click review — nothing is created behind your back — and a newly added phone starts the SMS opt-in text automatically.

Groups as departments

Turn on department sync and map each Workyard group to an AbsentEase department on the Departments page. Employees land in the mapped department so call-off alerts route to the right supervisor. Leave it off and your departments are never touched.

Time approvers as supervisors

Anyone who approves time in Workyard becomes a supervisor in AbsentEase, attached to their department when department sync is on, ready to receive call-off alerts by email or text.

Approved time off

Each approved Workyard time-off request books one excused PTO day per date, with the hours Workyard recorded, and draws the PTO bank once. A day already on the ledger from an SMS call-off is merged, not doubled. A request that is declined or deleted in Workyard has its days removed on the next sync and the hours returned.

Hours worked

Submitted and approved time cards feed hours-based PTO accrual when your policy accrues by hours worked, and they answer the text “how many hours do I have this week?” with the employee's clocked hours, including the card they're on right now.

People who leave

When someone is disabled in or removed from Workyard they are flagged for review — deactivate or keep, your call. Their history stays; nothing is deleted automatically, and someone re-enabled in Workyard comes back on their own.

Connecting takes about two minutes

  1. Generate an API token in Workyard under Integrations, then API Token. Workyard admin access is required.
  2. Paste it on the AbsentEase Integrations page and click Validate & connect. If the token can see more than one Workyard organization, pick the one to sync.
  3. Run the first sync with Sync now, or let the hourly schedule do it. Employees already in AbsentEase are matched by Workyard id or suggested by phone number.
  4. Review the roster. Add new people with one click, connect anyone the sync could not match, and decide what to do about people no longer in Workyard.
  5. Choose your switches: alert supervisors when approved time off syncs, map groups to departments, sync email addresses, and keep unpaid time off out of the PTO bank. Each one is off until you turn it on, except email sync, which is on.

What AbsentEase reads from Workyard

  • Employees — names, phone numbers, email addresses, groups and whether the employee is enabled.
  • Time approvers — who approves time, for supervisor alerts.
  • Time-off requests — approved requests, the days they cover, the hours per day and the leave policy (paid or unpaid).
  • Time cards — submitted and approved hours, for accrual and the weekly-hours reply.

No pay rates, job costs, GPS or location data is read, and nothing is written to Workyard.

How the connection is protected

  • The API token is encrypted at rest and never shown again after you paste it.
  • Only an AbsentEase administrator can connect, disconnect or change the switches.
  • Each employee record is linked to one source of truth, so a person kept in Workyard is never overwritten by another integration.
  • Disconnect any time; AbsentEase drops the token immediately and keeps your history.

Frequently Asked Questions

In the Workyard web dashboard, open Integrations, then API Token, and click Generate API Token. You need Workyard admin access. Paste the token on the AbsentEase Integrations page; it is validated on the spot, stored encrypted, and used only to read from Workyard on your behalf.

No. The integration is read-only. AbsentEase reads employees, groups, time approvers, time-off requests and time cards from Workyard and never writes time cards, time off or employee records back.

No, and that workflow is expected: the text call-off lands on the attendance ledger, and the Workyard time-off request puts the hours on the time card for payroll. When the Workyard day syncs, AbsentEase sees the day is already booked, notes the matching request on the existing entry, and draws the PTO bank once.

On the next sync the imported days come off the attendance calendar and the PTO hours go back into the bank. Workyard removes deleted requests from its API entirely, so AbsentEase treats a request that has vanished from a complete response the same way as a declined one.

Only if you want them to. A switch on the Workyard card books unpaid-policy days on the attendance calendar without any PTO draw, and the entry says so. With the switch off, every imported day draws, which is the original behavior.

Time cards for the current week, Monday through Sunday in your company's time zone, with statuses working, submitted, approved and processed. A card the employee is clocked into right now counts up to the moment they ask. Employees not yet linked to a Workyard record get a normal acknowledgement instead of a number.

Click Disconnect on the AbsentEase Integrations page. The token is cleared immediately; your employees, departments, attendance history and PTO ledger stay exactly as they are. You can also revoke the token inside Workyard.
