AbsentEase Privacy Policy

Introduction

AbsentEase ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AbsentEase service, website, and mobile application (collectively, the "Service").

Please read this Privacy Policy carefully. By accessing or using the Service, you acknowledge that you have read, understood, and agree to be bound by all the terms of this Privacy Policy. If you do not agree with our policies and practices, please do not use our Service.

Information We Collect

Personal Information

We collect personal information that you voluntarily provide to us when you:

  • Register on our Service
  • Express interest in obtaining information about us or our products
  • Participate in activities on our Service
  • Contact us

The personal information we collect may include:

  • First and last name
  • Email address
  • Phone number
  • Company name and information
  • Department and location information
  • Employee information (for administrators)

SMS Message Data

Our Service facilitates SMS messaging for employee absence reporting. We collect:

  • The content of messages sent through our platform
  • Time and date of messages
  • Delivery status information
  • Phone numbers of senders and recipients

Data From Connected Payroll, HR and Time-Tracking Systems

If your company's administrator connects AbsentEase to a payroll, HR or time-tracking system (for example Workyard, Gusto, QuickBooks Online, UKG Ready, Workday or Rippling), we read a limited set of records from that system on your administrator's instruction. Depending on the system, this is:

  • Employee names, mobile numbers, email addresses, hire and release dates, and active status
  • Department and manager assignments
  • Approved time-off requests, time-off balances and company holidays
  • The dates and hours of approved time entries
  • The name of the connected company, so your administrator can see which account is linked

We use this data only to operate the Service for your company: to keep the call-off roster current, route absence messages to the right supervisors, record approved time off on the attendance log, calculate PTO accrual from hours worked, and answer employees' text questions about their hours and balances. AbsentEase reads from these systems and does not change records in them. We do not sell this data, we do not share it with anyone other than the service providers described under "Disclosure of Your Information," and one company's data is never shared with another company.

The credentials that let AbsentEase read from a connected system (such as OAuth refresh tokens and company identifiers) are encrypted at rest, and our request logs record status and timing only, never the records themselves. Your administrator can disconnect at any time from the Integrations page in AbsentEase or from within the connected system. On disconnect we revoke our access and stop reading; the records already in AbsentEase remain part of your company's data and are deleted with it as described under "Data Deletion When Your Subscription Ends."

Signing In With Intuit

If you choose Sign in with Intuit, or start AbsentEase from the QuickBooks App Store, Intuit shares your Intuit user ID, name, email address (and whether Intuit has verified it), phone number and address with us. We use the Intuit user ID to recognize you when you sign in again, and your name and email to set up and label your AbsentEase account. When you start from the QuickBooks App Store we also read your QuickBooks company's name, address, phone and email to set up your company, so you don't have to type them in. We don't use this information for anything else. You can sign in with your email address and a password instead at any time (use Forgot Password to set one if you started with Intuit).

Usage Data

We automatically collect certain information when you access our Service, including:

  • IP address
  • Browser type
  • Operating system
  • Pages you visit
  • Time and date of your visit
  • Time spent on those pages
  • Unique device identifiers

Cookies and Tracking Technologies

We use cookies and similar tracking technologies to collect information about your browsing activities and to track user movement around the Service. These technologies help us better understand user behavior and internal analytics.

On our public marketing pages, we use third-party analytics services, including Google Analytics, to understand how visitors find and use our website. You can learn how Google uses this data at policies.google.com/technologies/partner-sites, and you may opt out of Google Analytics with the Google Analytics opt-out browser add-on. Our public marketing pages also use Leadfeeder, a service that identifies the companies (not individuals) visiting our website based on IP address; you can learn more and exercise your choices in the Leadfeeder privacy policy. Our public marketing pages also carry the LinkedIn Insight Tag, which lets us measure the results of our LinkedIn advertising and may set a LinkedIn cookie in your browser; LinkedIn describes this data use in its privacy policy and cookie policy, and you can opt out of LinkedIn ad tracking at linkedin.com/psettings/guest-controls/retargeting-opt-out. These analytics do not apply to SMS data, which is never shared for marketing purposes as described below.

How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain our Service
  • Improve, personalize, and expand our Service
  • Process transactions and manage your account
  • Send administrative information, such as updates, security alerts, and support messages
  • Respond to comments, questions, and requests
  • Monitor usage of our Service
  • Detect, prevent, and address technical issues
  • Fulfill any other purpose for which you provide the information

AI Processing and Training

AbsentEase uses artificial intelligence to operate the Service — for example, to read an incoming text, categorize it (such as a sick day, late start, or PTO question), translate it, and route it to the right people. This processing is a core part of how the Service works and happens for every message.

Separately from operating the Service, we may use de-identified message data to improve our AI classification models. Your company may opt out of AI training at any time by contacting us at info@absentease.net. Opting out does not change the features available to you or affect the AI processing required to operate the Service.

We do not sell your data to third parties for AI training, and we do not use your data to train third-party foundation models.

Disclosure of Your Information

We may share your information in the following situations:

  • With Service Providers: We may share your information with third-party vendors, service providers, contractors, or agents who perform services for us.
  • Business Transfers: If we are involved in a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction.
  • With Affiliates: We may share your information with our affiliates, in which case we will require those affiliates to honor this Privacy Policy.
  • With Your Consent: We may disclose your personal information for any other purpose with your consent.
  • To Comply with Laws: We may disclose your information where required to do so by law or subpoena.

Mobile opt-in data and phone numbers collected for SMS communications will not be shared with, sold to, or rented to any third parties or affiliates for marketing or promotional purposes under any circumstances. Phone numbers and SMS consent information are used solely to operate the AbsentEase absence-reporting service.

Data Storage and Security

We implement appropriate technical and organizational security measures designed to protect the security of any personal information we process. However, please be aware that no security system is impenetrable, and we cannot guarantee the absolute security of our databases.

We will retain your personal information only for as long as is necessary for the purposes set out in this Privacy Policy, or as needed to comply with our legal obligations, resolve disputes, and enforce our agreements.

Data Deletion When Your Subscription Ends

When your company's subscription ends — whether cancelled by you or terminated by us — we delete the company's data, including employee records, message content, attendance and PTO records, and reports, within 30 days of the end of the subscription.

Two narrow exceptions apply: we retain records we are legally required to keep (such as SMS consent and opt-out records needed to honor STOP requests and carrier compliance obligations, and billing records required for tax purposes), and we may retain information as needed to resolve disputes or enforce our agreements. You may also request deletion sooner by contacting us at info@absentease.net.

SMS Communications & Consent

The primary function of our Service is to facilitate SMS communications for absence reporting. By using our Service:

  • You consent to receive SMS communications from AbsentEase for absence reporting purposes.
  • You acknowledge that standard message and data rates may apply based on your carrier.
  • You understand that we will store message content for record-keeping and service improvement purposes.

How You Opt In

Employees are enrolled in SMS communications by their employer when their phone number is added to the AbsentEase platform. Your first interaction with the Service confirms your consent to receive absence-related SMS messages. Employers are responsible for notifying employees that they have been enrolled and that SMS messages will be sent on the employer's behalf.

Message Frequency

Message frequency varies based on absence reporting activity. You may receive messages only when reporting or responding to an absence, or when an administrator sends a communication. There is no recurring marketing or promotional messaging.

Opt Out & Help

You may opt out of SMS messages at any time by replying STOP to any message received from AbsentEase. After replying STOP, you will receive a confirmation message and no further SMS messages will be sent, except where legally required. To resume messages, reply START.

For help, reply HELP to any AbsentEase message, or contact us using the support information below. We will respond with instructions for using the service and how to reach support.

No Sharing of SMS Consent

The phone numbers and SMS consent information collected in connection with the Service are used solely to deliver absence-reporting messages. Mobile opt-in data and consent information will not be shared with third parties or affiliates for marketing purposes.

Employees using the system to report absences should be made aware that message content is viewable by authorized company administrators.

Your Privacy Rights

Depending on your location, you may have certain rights regarding your personal information, including:

Children's Privacy

Our Service is not directed to children under 16 years of age, and we do not knowingly collect personal information from children. If we learn that we have collected personal information from a child under 16, we will take steps to delete such information as soon as possible.

California Privacy Rights

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including:

  • The right to know what personal information we collect about you
  • The right to delete personal information we have collected about you
  • The right to opt-out of the sale of your personal information (note that we do not sell personal information)
  • The right to non-discrimination for exercising your CCPA rights

International Data Transfers

Your information may be transferred to and maintained on computers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may differ from those in your jurisdiction.

If you are located outside the United States and choose to provide information to us, please note that we transfer the data to the United States and process it there.

Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last Updated" date at the top of this page.
