What syncs from UKG Ready

Everything flows one way, from UKG Ready into AbsentEase, on an hourly schedule or whenever you click Sync now. Every addition and removal goes through a review step, and every run is written to a sync log you can read.

Employees

Name, mobile number and email for every active employee in your UKG Ready company. New people are staged for a one-click review — nothing is created behind your back — and a newly added phone starts the SMS opt-in text automatically.

Managers as supervisors

Whoever an employee reports to in UKG Ready becomes a supervisor in AbsentEase, attached to their department when department sync is on, ready to receive call-off alerts by email or text.

Cost centers as departments

Turn on department sync and each employee's default cost center is matched to the AbsentEase department with the same name, so call-off alerts route to the right supervisor. Departments are never created for you, and with the switch off yours are never touched.

Approved PTO requests

Each approved request books one excused day per date on the attendance calendar, with the hours UKG Ready recorded, and draws the PTO bank once. A day already on the ledger from an SMS call-off is merged, not doubled. A request that is cancelled or rejected in UKG Ready has its days removed on the next sync and the hours returned.

Hours worked

Worked time entries feed hours-based PTO accrual when your policy accrues by hours worked, and answer the text “how many hours do I have this week?” with the employee's recorded hours for the current week.

People who leave

When someone is terminated or made inactive in UKG Ready they are flagged for review — deactivate or keep, your call. Their history stays; nothing is deleted automatically, and someone rehired in UKG Ready comes back on their own.

Connecting takes about five minutes

  1. Create a service account in UKG Ready whose security profile can read employees, PTO requests and time entries through the REST API.
  2. Copy the company short name and the REST API key under Settings, Global Setup, Company Setup (Company Info and Login Config).
  3. Enter them on the AbsentEase Integrations page with the address you sign in at, and click Validate & connect. AbsentEase signs in and reads the employee list on the spot before storing anything.
  4. Run the first sync with Sync now, or let the hourly schedule do it. Employees already in AbsentEase are matched by UKG Ready account id or suggested by phone number.
  5. Review the roster and choose your switches: add new people with one click, connect anyone the sync could not match, decide about people no longer in UKG Ready, and turn on supervisor alerts for synced time off, cost-center-to-department matching, email sync, and unpaid-time-off handling as you like.

What AbsentEase reads from UKG Ready

  • Employees — names, phone numbers, email addresses, employment status and dates, default cost center, and who they report to.
  • PTO requests — approved requests, the days they cover, the hours per day and the time-off type.
  • Time entries — the date and hours of worked entries, for accrual and the weekly-hours reply.

No pay rates, payroll, bank, tax or benefits data is read, and nothing is written to UKG Ready.

How the connection is protected

  • The API key and service-account password are encrypted at rest and never shown again after you enter them; the hour-long session token is refreshed automatically.
  • A UKG Ready company can be connected to one AbsentEase company only, and only an administrator can connect, disconnect or change the switches.
  • Each employee record is linked to one source of truth, so a person kept in UKG Ready is never overwritten by another integration.
  • Disconnect any time; AbsentEase drops the credentials immediately and keeps your history.

Frequently Asked Questions

No. UKG Ready lets each company generate its own REST API key and service account, so you connect with credentials you control. Go to Settings, then Global Setup, then Company Setup: the company short name is on Company Info and the API key on Login Config. The service account is an ordinary user whose security profile can read employees, PTO requests and time entries.

No. The integration is read-only. AbsentEase reads employees, managers, cost centers, PTO requests and time entries and never writes employee records, time off or timesheets back.

No. When the approved request syncs, AbsentEase sees the day is already booked from the text call-off, notes the matching request on the existing entry, and draws the PTO bank once.

On the next sync the imported days come off the attendance calendar and the PTO hours go back into the bank. A request that disappears from UKG Ready entirely is treated the same way once it is clearly gone.

Only if you want them to. A switch on the UKG Ready card books unpaid-type days on the attendance calendar without any PTO draw, and the entry says so. With the switch off, every imported day draws.

Workyard first, then UKG Ready, then QuickBooks Online. When more than one is connected, the first one in that order feeds hours-based accrual and the weekly-hours reply; the others contribute their roster only. Employees are linked to one source each, so nothing is overwritten.

Click Disconnect on the AbsentEase Integrations page. The stored key and password are cleared immediately; your employees, departments, attendance history and PTO ledger stay exactly as they are. You can also retire the API key or the service account inside UKG Ready.
