Your QuickBooks employees and hours, on your call-off line

You already keep your people and their hours in QuickBooks Online. Connect AbsentEase and that list becomes the call-off roster: new hires can text in on day one, people who leave are flagged for you, and the hours behind an employee's PTO balance come from the time entries you already approve.

What syncs from QuickBooks Online

Everything flows one way, from QuickBooks into AbsentEase, on an hourly schedule and within minutes of a change when QuickBooks notifies us. Every addition and removal goes through a review step.

Employees

Name, mobile number and email for every active QuickBooks employee. New people are staged for a one-click review — nothing is created behind your back — and a newly added phone starts the SMS opt-in text automatically.

Hours worked

Approved time entries in QuickBooks (from QuickBooks Time or weekly timesheets) feed hours-based PTO accrual when your policy accrues by hours worked, and answer the text “how many hours do I have this week?” with the employee's recorded hours.

People who leave

When someone is made inactive or released in QuickBooks they are flagged for review — deactivate or keep, your call. Their history stays; nothing is deleted automatically.

What stays where it is

QuickBooks gives connected apps no departments, managers or time-off data, so your departments and supervisors stay as you set them in AbsentEase, and time off comes from Workyard, Gusto, texts or manual entry.

Connecting takes about two minutes

  1. Open Integrations in AbsentEase and click Connect to QuickBooks Online. You need to be an AbsentEase administrator and a QuickBooks admin.
  2. Sign in to QuickBooks and choose the company. Intuit shows exactly what AbsentEase may read before you approve.
  3. Run the first sync with Sync now, or let the hourly schedule do it. Employees already in AbsentEase are matched by QuickBooks id or suggested by phone number.
  4. Review the roster. Add new people with one click, connect anyone the sync could not match, and decide what to do about people no longer in QuickBooks.

What AbsentEase reads from QuickBooks

  • Employees — names, phone numbers, email addresses, hire and release dates, active status.
  • Time entries — the date and hours of each approved entry, per employee.
  • Company name — so the Integrations page shows which QuickBooks company is connected.

No pay rates, payroll, bank, tax or invoice data is read, and nothing is written to QuickBooks.

How the connection is protected

  • Access tokens and the QuickBooks company identifier are encrypted at rest; tokens refresh automatically and are never shown.
  • A QuickBooks company can be connected to one AbsentEase company only, and only an administrator of that company can connect it.
  • AbsentEase keeps no copy of your QuickBooks data beyond the employee fields and hours it uses, and its request log records status only.
  • Disconnect from either side at any time.

Frequently Asked Questions

No. The integration is read-only: AbsentEase reads employees and time entries and never writes to QuickBooks. When you disconnect, AbsentEase asks Intuit to revoke its own access.

Any QuickBooks Online plan with employees works for the roster. Hours need time entries in QuickBooks, which come from QuickBooks Time (included with Payroll Premium and Elite) or from timesheets entered in QuickBooks.

No. QuickBooks Payroll does not share time off with connected apps. Time off in AbsentEase comes from your other sources: employee texts, manual entry, or a Workyard or Gusto connection.

Workyard. When both are connected, Workyard stays the time clock for hours-based accrual and the weekly-hours reply, and QuickBooks contributes the roster only. Employees are linked to one source each, so nothing is overwritten.

On the next sync they are flagged on your roster review as no longer in QuickBooks. You choose to deactivate them or keep them; AbsentEase never deletes an employee or their history on its own.

Either side works: click Disconnect on the AbsentEase Integrations page, or remove AbsentEase from My Apps in QuickBooks. Your employees, attendance history and PTO ledger stay exactly as they are.
