You already keep your people, departments and managers current in Gusto for payroll. What syncs from Gusto

Everything flows one way, from Gusto into AbsentEase, on an hourly schedule and within minutes of a change when Gusto notifies us. Every addition and removal goes through a review step.

Employees

Name, mobile number and work email for every active Gusto employee. New people are staged for a one-click review — nothing is created behind your back — and a newly added phone starts the SMS opt-in text automatically.

Departments

Each employee's Gusto department is matched to the AbsentEase department with the same name, so call-off alerts route to the right supervisor. Departments are never created or renamed from Gusto; the match is a switch you turn on.

Managers

Anyone an employee reports to in Gusto becomes a supervisor in AbsentEase, attached to their department, ready to receive call-off alerts by email or text.

Terminations

When someone is terminated in or removed from Gusto they are flagged for review — deactivate or keep, your call. Their history stays; nothing is deleted automatically.

Approved time off

Approved Gusto time-off requests land on the attendance calendar as excused days, draw from the PTO bank once, and can alert the supervisor. A day already booked from an SMS call-off is merged, not doubled.

Connecting takes about two minutes

  1. Open Integrations in AbsentEase and click Connect to Gusto. You need to be an AbsentEase administrator.
  2. Sign in to Gusto and choose the company. Gusto shows exactly what AbsentEase may read before you approve.
  3. Run the first sync with Sync now, or let the hourly schedule do it. Employees already in AbsentEase are matched by Gusto id or suggested by phone number.
  4. Review the roster. Add new people with one click, connect anyone the sync could not match, and decide what to do about people no longer in Gusto.
  5. Choose your switches: match departments by name, sync email addresses, and alert supervisors when approved time off is synced. Each one is off until you turn it on.

Permissions AbsentEase asks Gusto for

  • Employees (read) — names, phone numbers, work emails, managers, departments and employment status.
  • Departments (read) — department names, for matching to yours.
  • Time off requests (read) — approved requests and the days they cover.
  • Company (read) — the company name, so the Integrations page can show which Gusto company is connected.

No payroll, compensation, bank, tax or SSN data is requested, and nothing is written to Gusto.

How the connection is protected

  • Gusto access tokens are encrypted at rest and refreshed automatically; they are never shown to anyone.
  • A Gusto company can be connected to one AbsentEase company only, and only an administrator of that company can connect it.
  • Webhook messages from Gusto are accepted only when they carry a valid signature.
  • Disconnect from either side at any time; AbsentEase drops its tokens immediately and keeps your attendance history.

Frequently Asked Questions

No. The integration is read-only: AbsentEase reads employees, departments, managers and approved time-off requests from Gusto and never writes payroll, time off or employee records back. The only things AbsentEase creates on the Gusto side are its own webhook subscription and, when you disconnect, the disconnect itself.

On the next sync (hourly, or within minutes when Gusto sends the change) the person is flagged on your roster review as no longer in Gusto. You choose to deactivate them or keep them. AbsentEase never deletes an employee or their call-off history automatically.

No. Employees call off by texting your company's AbsentEase number in their own words. Gusto is only used to keep the list of who works for you, their departments and their managers current.

They are still staged for review and can be added; a phone number can be entered in AbsentEase later. When Gusto later gains a mobile number for them, the sync fills it in and starts the SMS opt-in text.

Yes. Each employee record is linked to one source of truth; a person linked from Workyard is never overwritten by Gusto and vice versa, and the roster review never lets one integration steal another's link.

Either side works: click Disconnect on the AbsentEase Integrations page, or remove AbsentEase under App directory in Gusto. AbsentEase clears its Gusto tokens immediately; your employees, departments and attendance history stay as they are.
